Steps to Take Prior to Transferring Your TKC Email

  1. Enable "access for less secure apps" per the instructions here. (If you don't do this you may get an error that your username and password are incorrect when setting up POP using the steps below.)
  2. When logged into your TKC email account, click the Gear icon and from the tabs choose Forwarding and POP/IMAP and make sure both POP and IMAP are turned on for All Mail.

TKC Email Account to a Gmail Account

  1. Login to your personal Gmail (non-TKC) account.
  2. Go to Settings by clicking the Gear icon.
  3. Select the Accounts and Import tab.
  4. Choose Import Mail and Contacts.
  5. Enter your TKC email address as the account you want to import from (include @tkc.edu at the end)
  6. In the box that follows:
    • Enter your email password (if this doesn't work at first you may need to go to https://changemypassword.tkc.edu and change your single sign on password);
    • POP username as your full TKC email address;
    • POP mail server as pop.gmail.com,
    • Click edit next to the port and change it to 995 and (e) check the box next to SSL.

TKC Email to a non-Gmail Account or Email Program

  1. If you have set up labels/folders for emails and want to maintain them: Set up an email program (like Outlook or Mozilla Thunderbird) to download all your mail to your computer. Use the IMAP settings here. Then set your other email account up in the email program. Once you have the TKC mail downloaded, you can select it individually or in folders (Shift+Click to select multiple, CRTL+A to select all) and drag to move it to another email account. See this article for more details.
  2. If you don’t care about/don’t have existing labels/folders: If you have an existing personal Gmail account, you can download your TKC emails to your personal account by using the Mail Fetcher tool in Gmail (learn more about Mail Fetcher here).
  3. Use these settings:
    • Username: your full TKC email address (include @tkc.edu at the end)
    • Server name: pop.gmail.com
    • Port: 995
    • Password: your TKC email password
    • Check the box next to Always use a secure connection (SSL) when receiving mail
    • If you don't want your emails from your TKC account in the inbox of your other account, create a label for the incoming messages and check the box next to "Archive incoming messages" to send them straight to that folder.

Google Docs/Drive 

  1. Go to drive.google.com
  2. Click the checkbox next to any document.
  3. Click the “More” button, then click “Download”
  4. Go to the “All Items” tab, and decide which format you want to use to download each type of file.

Google Calendar

  • Exporting Calendars
    • To export data from a single calendar, follow the instructions for exporting content from a specific calendar on the top of this page
    • To export data from all of your personal calendars (you won’t be able to export from any public or shared calendars), follow the instructions on the lower half of the page here. This will produce a “zip” folder containing each of the individual calendars as an .ical file.
    • The exported calendars will be in .ical format (or in a .zip file) which are easily opened with Outlook and Thunderbird and easily imported into any other Gmail account.
    • Unfortunately, you cannot give ownership of a calendar to a non-”@tkc.edu” address, so even if you have another gmail account, you will need to export the calendar per the above instructions and then import it into your account (see following).
  • Importing Calendars
    • By right-clicking on the ical files in your download folder, you can choose which program to open them with (via the “open with” option).
    • Opening the file with Outlook will automatically add it to your list of calendars.
    • To import calendars into Gmail, follow the directions on this page.
    • Note that if you export all your calendars at once, you will need to open the zip file and import the calendars one at a time.

Google Contacts

  • Exporting Contacts
    • For instructions on how to export your contacts please follow this link.
    • Note that contacts can be exported in forms that allow for transferring to another Gmail account, another web account or email program (e.g. Outlook), or Apple Address book.
    • Also note that you can only export your contacts, not the entire TKC directory. Google counts contacts as anyone you’ve entered into your contacts list and/or everyone you’ve emailed or has emailed you. If you really wanted, you could add the entire directory to your contacts and then export it.
    • Exporting your contacts will give you a file (either Google .csv, Outlook .csv, or vCard) that you will need to then import into your personal gmail, other webmail, Apple Address book, Outlook, or other email program (like Mozilla Thunderbird).
